Biohost South Africa (“Biohost”, “we”, “us”, “our”) is committed to protecting your privacy and personal information in accordance with the Protection of Personal Information Act, 4 of 2013 (POPIA) of South Africa. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the rights you have.

1. Responsible party

2. Personal information we collect

  • Identity & contact details — name, company, email address, telephone number and physical/postal address.
  • Domain registrant details — the registrant information required by domain registries to register or manage a domain on your behalf.
  • Billing information — the details needed to process payments. Card payments are processed securely by our payment provider; we do not store full card numbers on our servers.
  • Account & service data — hosting account details, order history, support correspondence.
  • Technical data — IP address, browser type and usage data collected via cookies and server logs.

3. Why we process your information (purpose & lawful basis)

We process your personal information to: provide and administer the hosting, email, domain and marketing services you order; register and manage domains with the relevant registry; process payments and issue invoices; provide customer and technical support; comply with legal and regulatory obligations; and, where permitted, send you service notices and marketing. Our lawful bases include performance of our contract with you, our legitimate business interests, your consent, and compliance with the law.

4. Sharing your information

We share personal information only as necessary to deliver our services, including with: domain registries and our domain wholesale provider (to register and manage domains); our data-centre/hosting infrastructure provider; our payment gateway provider (to process payments); and regulators or authorities where required by law. We require all operators who process personal information on our behalf to do so securely and only for the agreed purpose. We do not sell your personal information.

5. Cross-border transfers

Some service providers (for example certain domain registries or payment processors) may process information outside South Africa. Where this occurs we take reasonable steps to ensure your information receives a level of protection consistent with POPIA.

6. Security safeguards

We apply appropriate technical and organisational measures to protect your personal information against loss, unauthorised access and misuse, including encryption in transit, access controls, server hardening and regular updates. While we take security seriously, no method of transmission over the internet is completely secure.

7. Retention

We keep personal information only for as long as necessary to fulfil the purposes described above or as required by law (for example, financial and tax record-keeping obligations), after which it is securely deleted or de-identified.

8. Your rights under POPIA

You have the right to: request access to the personal information we hold about you; request correction or deletion of inaccurate or unnecessary information; object to processing in certain circumstances; and withdraw consent to direct marketing at any time. 9. Direct marketing

We will only send you direct marketing where the law allows or where you have consented. Every marketing message includes an option to opt out, and you can unsubscribe at any time.

10. Cookies

11. Complaints
